Studio systems in development

The enquiry form is built. Broader studio workflows are in development.

Current scope

Alex Roze is a resident tattoo artist at Rocky Mountain Tattoo in Kelowna. The current software work includes the artist website, catalogue and enquiry application.

The form assembles a drawing or idea, references and contact details into a brief. The artist still reviews suitability and agrees the appointment details.

  • Built: website, catalogue and enquiry application.
  • Tested: one synthetic email received with its attachments.
  • In development: context preparation, handovers and follow-up.
  • Inactive: public email delivery, inbox agent, scheduling and studio-wide AI operation.

Enquiry details

An idea or drawing, placement, rough size and reply address provide the starting information. Proposed summaries would retain the original request so the artist can check its meaning.

For example, “A rose, inner forearm, around hand-sized; no date yet” supplies subject, placement and scale. Colour preference and timing remain open.

AR-T-016, Panther & woman, belongs in both Traditional and Black & grey. It can serve as a relevant reference for a black-and-grey panther enquiry; size, placement and drawing still need artist review. Automatic artist matching is not implemented.

Appointment records — proposed

A proposed appointment handover would retain the source, observation time, location, artist and local time zone. Square and calendar integrations need separately verified access.

If an appointment diary and a convenience calendar disagree, the handover would show both observations for staff to resolve. It would not silently choose one.

The example below uses fictional records. It demonstrates a conflict format, not a report on private appointments.

Fictional conflict example · no live appointments
Sources: fixture diary A / fixture calendar B
Observed: 2026-10-18T12:00:00-07:00

Result: conflict → staff review; availability unknown

Deposits and appointments

The deposit for Alex’s tattoo work is CAD $150, credited against the agreed total. RMT’s rules apply. The online payment destination still needs verification before the checkout link is enabled.

An enquiry, an agreed appointment and a verified payment are separate records. Returning from a payment link does not confirm payment or reserve a date.

Handover — proposed

The proposed handover prepares context for the artist and desk: original request, known details, unresolved questions and the person responsible for the next step.

The current implementation is a form with a tested email path. A studio queue, live CRM and customer-agent conversation are not active.

  • Read and summarise: approved sources and necessary information.
  • Draft: sources and unresolved questions retained for review.
  • Send: a separately authorised communication path.
  • Schedule or charge: separate permissions and verified records.

Care information

The studio’s published care information is linked below. A future care assistant would need the approved document version and an agreed escalation route.

No automated aftercare reply is active. Sensitive healing questions require the studio’s care process; a photograph does not establish a diagnosis.

Follow-up — proposed

The inbox-agent and follow-up stage is deferred. The proposed record would retain what the client asked, what is missing, who needs to act and what was agreed.

A follow-up would stop after a reply, withdrawal or an agreed next step. Timing, wording and permission to send remain undecided. Service replies concern the enquiry; marketing permission is separate. No follow-up sequence is enabled on this site.

Proposed follow-up record
Request: rose from AR-D-003
Missing: agreed timing
Next: artist review
Stop: reply, withdrawal or agreed next step
State: proposed; no message sent

Halloween designs

The supplied Halloween sheets have CAD prices and hand-sized-or-larger guidance. The exact qualifying dates and whether the offer follows booking date or appointment date remain unresolved.

The sheets are available to enquire about. Published artwork and a price note do not establish remaining appointment capacity.

Results

No measured saving, conversion lift or return on investment is published for these studio methods.

A comparison would need actual enquiry, handover and fulfilled-appointment records, with a baseline that includes rework, errors and maintenance.
